Dartmouth Royal Regatta Sailing Week 2025 – How to Enter

Entries will open on 1st February 2025.

Online entry and payment are available for all events and classes in Dartmouth Royal Regatta Sailing Week 2025, using the secure ‘WebCollect’ portal.
Alternatively, entries can be submitted on paper forms available from RDYC or by download from the Race Documents page. Online payment can be by PayPal (including by Credit/Debit Card) or GoCardless (Direct Debit).  Payment by cheque, or by cash (at RDYC) is also accepted.

All entries will be listed on the ‘List of Entries 2025‘ page. If your entry does not appear there within 10 days of receipt of your payment, then please contact us.

Entering online

Before starting your entry for the Yacht or Dinghy Series racing or Savills Passage Race, please familiarise yourself with the relevant 2025 Notice of Race, available to download here. For more information about the other informal events, see the White Sail or Gaffer pages.
Please note that payment must be received by 00.01 hours on 1st August to qualify for the early payment discount, and that a late entry administrative charge will apply from 15th August (or 10th August for the Moore Kingston Smith Dinghy Series, or 22nd August for the Rockfish Junior Dinghy Series).

Additional notes re online entry:

1. An account with WebCollect will be required. This should be in the name of the main contact person, who should be age 18 or over. This may be different to the competitors’ names which will be requested on the entry form.
2. From the home page, click on the relevant event.
3. The fee payable is calculated automatically. Depending on the event you are entering, this may be based on the days entered and the boat length. You then click on ‘Add to Basket’. You can add more than one event to your Basket by going back to the home page, so that you pay for them all together. Then click on ‘Checkout’.
4. When you click on ‘Checkout’ you will be asked to Sign in or Sign up to WebCollect, and then complete your entry details in the online form. There will be a form for each event entered. Click on ‘Save’ at the bottom of each form, and then ‘Place order’ . You will then be taken to payment which may be made:
·         through GoCardless (online direct debit, more details here), or
·         through PayPal (which includes options to pay by credit/debit card – you do not need a PayPal account), or
·         by sending a cheque (made payable to Joint Regatta Sailing Committee), or
·         by cash at RDYC.
If you need an invoice before paying, select ‘cheque’ payment and email [email protected] to request an invoice.
5. You will receive an acknowledgement email from WebCollect confirming your entry details. A separate payment confirmation email will also be received, either direct from PayPal or GoCardless, or from WebCollect if paying by cash or cheque.
6. Online entries can be seen immediately in WebCollect by clicking on the ‘Bookings – Show’ link, or under ‘My entries’ on the ‘My home’ page. In addition all entries will be listed on the ‘List of Entries 2025‘ page. If your entry does not appear there within 10 days of receipt of your payment, then please contact us.
7. Any changes to your boat details or class entered should be emailed to [email protected]. Please note that for the Yacht & Dayboat Series, some changes are not allowed after 14th August (see NoR for details).  Other changes can be made in WebCollect under ‘My entries’ on the ‘My home’ page.
 
Additional notes re Junior Dinghy and under-18 Dinghy competitors:
For the Rockfish Junior Dinghy Series, if the form is being submitted by a parent or legal guardian, consent can be given online. Otherwise, a separate consent form signed by their parent/guardian must be submitted for each junior competitor.  This can be downloaded here (it is the 2nd page of the entry/consent form). Note in particular that a separate entry/consent is required for both the helm and crew in a Feva or 2-person PY dinghy.
For the Moore Kingston Smith Dinghy Series, the online form should be submitted by an adult. If the form is being submitted by a parent or legal guardian, consent can be given online for an under 18 year old competitor.  Otherwise, a separate consent form signed by their parent/guardian must be submitted for each under 18 year old competitor (except if exempt). This can be downloaded here. Note also that for boats sailed by under 18s, at least one parent/guardian (or their nominated representative) must be in attendance at DSC. See NoR 6 for full information.


Entering by paper form

If you are unable to use the online entry system, then please download and print the relevant paper entry form here, or collect one from RDYC. Payment for an entry can then be made:
·         by cash at RDYC or
·         by cheque (made payable to Joint Regatta Sailing Committee).

Entering the Dartmouth Team Trophy competition

The Dartmouth Team Trophy Competition is for club teams of boats entered in the 4-day Yacht and Dayboat Series. Teams of at least 3 and not more than 5 boats are invited to represent their club, and a club can nominate up to 3 teams. For clubs with fewer than 3 entrants, joining together with another club to form a joint team is encouraged.  Entry is by email to [email protected], or will be made automatically from the club declared on the boats’ entry forms.  Please see NoR 12.5 for details.


GoCardless

GoCardless allows payment to be made directly from your bank account. The first time you use it, when you click on ‘Enter Payment’ in WebCollect, you will be taken to the GoCardless site to set up a Direct Debit authorisation. You will be asked to provide your:
·         name and email address
·         bank details: Account holder name, sort code and account number
·         address

You will then be redirected back to WebCollect and taken to the checkout success page. You will be notified by email 3 days before your account is debited.Once the Direct Debit is set up, you can place new orders quickly without needing to enter your bank details again.

Please note that payment by direct debit is not instant – first time may take up to 10 days, subsequent payments up to 3 days. Your order will continue to be shown as “unpaid” until the money is actually transferred. But do not worry, we accept your entry as soon as your GoCardless payment has been submitted, even if the discount period finishes before the transfer happens.
(Also note: If your bank account requires 2 signatories, you should complete the online form as usual to set up the payment, and then download the PDF paper mandate from the link at the bottom of the payment pages and post it to GoCardless.)

GoCardless is authorised by the Financial Conduct Authority to provide payment services as an Authorised Payment Institution. Payments are covered by the Direct Debit Guarantee.

Troubleshooting online entries and payment

Problem:  You tried to pay with PayPal but got sent back to WebCollect’s home page.  Answer: it may be that your cookie/privacy/security settings are too restrictive, and are not allowing WebCollect and PayPal to communicate with each other. You could try amending your settings, or try on a different device, or you could opt to pay Direct Debit (GoCardless) or to pay by cheque and send that in the post.
Problem: You selected your ticket type (days, boat length etc) and clicked ‘Add to basket’, but then the ticket type selection was cleared, apparently sending you back to the beginning.  Answer: it may be that the small screen size prevented you from noticing the ‘Added to basket’ pop-up.  Click on ‘My basket’, and you may find that your entry is in fact there, and ready to proceed to Checkout.
Problem: You selected payment by Direct Debit/GoCardless and completed all the necessary bank details, but your order is still showing as ‘unpaid’.  Answer: Payments by Direct Debit do not leave you bank account for several days, and until the money is actually transferred, WebCollect continues to show your order as ‘unpaid’. But do not worry, we will accept your entry as soon as your GoCardless payment has been submitted, and the WebCollect status will be automatically updated to ‘payment received’ when the money has been transferred.
